The Brand Ambassador Guide

Becoming a Beloved Brand Ambassador can be very challenging, fun and rewarding. However, it takes a lot of work and organization in order to be successful and maintain a hirable status.

What will I need in order to get started?

  • A recent headshot and full body shot.
  • A resume or detailed bio with information on any previous promotional, modeling, acting or related experience complete with your full contact information.
  • Most promo gigs require you to have either blue denim jeans, beige khaki pants, a white button down shirt, and/or black dress pants. So make sure you’re prepared with the "tools of the trade."

How do I get the gig?

  • Early bird gets the gig so don’t wait for the casting alert e-mails. Be sure to check the Casting List regularly at www.belovedxp.com/castings.
  • Additional comments in your application or a cover letter can set you apart from the rest. It’s a good idea to list that you have previous experience with the type of promotion or event posted.
  • Be versatile. You’ll have a better shot of being selected for more casting opportunities if you’re willing to work more than one kind of promotion/event or if you’re willing to accept several different positions for the same program.
  • Follow directions. If you are asked to select which locations or dates you are available for or enter specific details about you in the comment box provided in the application – DO IT! If you can’t follow simple directions when applying then you’re probably not worth hiring.
  • Answer your phone and promptly reply to any e-mail from Beloved. It’s crucial that you be able to answer whatever contact phone or e-mail address you provided ASAP since the booking will have to be finalized quickly and our Field Operations team will continue down the list of suitable candidates until they have enough people.

Completing New Hire Paperwork

This is an industry-wide requirement. You will more than likely be working as an independent contractor, which means you will need to complete New Hire Paperwork which includes an Independent Contractor’s Agreement, W-9, I-9 and other required documents. These can all be found upon completion of your application or by going to www.belovedxp.com/forms. Sometimes the event or promotion will have reports that you’ll have to fill out either online or in writing. It’s your own responsibility to make certain that these items are filled out when required (either before, or shortly after the event). Failing to do so in a timely manner could result in financial penalties as well as delayed, partial or cancelled payments. When accepting a gig, be sure to confirm that yoru New Hire Paperwork has been received by Beloved, as bounced e-mails and failed fax transmissions are common.

Execution Day – Your Work Day

  • Beloved and its clients expect that you will represent us in the most responsible and professional manner. The following are some important tips to remember:
  • Be punctual and show up on time. You will be expected to arrive at least 15-20 minutes prior to your start time in order to get properly set up. This will also help you get acclimated to where you will be working and allow you to get any last minute directions or changes before your start time begins. Remember, the start time is for working and not for setting up, getting coffee, making calls, etc. Tardiness is unacceptable. Your pay will be deducted by every hour that you are late and may result in you either being sent home without pay or forfeiting any future work from Beloved. No-shows will be penalized $25.00 per day and may result in you forfeiting any future work from Beloved.
  • Arrive to the event dressed in the attire that you were previously instructed to wear. Failing to do so might result in you being sent home without pay.
  • Always remain courteous, friendly and professional at all times no matter what. If someone is rude to you, do not reduce yourself to their level. Remember that you are representing the brand or product that is being promoted and your reaction will reflect the client you are representing. There is also a good chance you will never see that person again.
  • Be sure to actively participate in the training, if provided. Often training is mandatory. This training might be live and in-person on the day of the event or over the phone. The training is usually paid and you’re responsible for paying attention and taking notes as necessary.
  • Remember to smile at all times, be positive and outgoing. People are generally more engaging when they smile. If you look and sound friendly then people you interact with will be more inclined to either sample your product or participate in the activity you’re executing.
  • Stay active and move your body. Don’t slouch, sit, or generally make it look like your bored or don’t care.
  • DO NOT use your cell phone during the promotion or event. It distracts people from their job and doing so may result in your immediate dismissal from the event and loss of pay.
  • The consumption of food or drinks while working is also prohibited. Your team leader or market manager will coordinate reasonable breaks in which you may leave the area in order to use the restroom, eat and drink.
  • The client may have "mystery shoppers" periodically supervising your work or asking you questions. You won’t know who they are so make sure that you alert and doing your best job at all times!

Getting Paid

If you have complied with all previous requirements such as submitting New Hire Paperwork, special promotion/event reports, timesheets, etc., you should be receiving payment shortly after our client pays their invoice. Some of our clients are more prompt in their payment than others. However, our Accounting Department uses every method to collect client payments and avoid delinquencies because they affect both Beloved and you.

When you receive your payment from us, feel free to verify it for accuracy although with everything being processed electronically, errors are extremely rare. However, if you have a payment related question or dispute, you can complete the online Payment Inquiry Form at www.belovedxp.com/payments. Each inquiry is carefully researched by someone in the Accounting Department and responses are sent back promptly in the order that they were received. In some cases checks get lost, paperwork is incomplete or missing or the client is delinquent so issuing a payment to you isn’t possible until the matter is resolved.
